Exhibitor Information & Guidelines
We are pleased to welcome you as an exhibitor at the conference and look forward to your participation in the exhibition. The exhibition is an important part of the meeting and provides valuable opportunities for networking and interaction with delegates.
The exhibition will be located in the conference venue and will be open during the same hours as the scientific programme. Delegates will visit the exhibition area primarily during coffee breaks, lunches and networking sessions.
Please carefully review the following guidelines to ensure a smooth and successful exhibition experience.

Exhibitor Move-In and Move-Out Schedule

Move-In
Monday, 2 June, 07:00–21:00
Access to the exhibition hall for exhibitor move-in and stand construction. Please note that only venue staff will be present during this time.
Tuesday, 3 June, 07:00–11:00
Final move-in period. All exhibition stands must be fully installed and ready by 11:00. All packing materials, waste, and empty packaging must be removed from the exhibition area by this time.

MKON representatives will be available for assistance during the following times:
2 June, 13:00–17:00
3 June, From 09:00

Move-Out
Friday, 5 June, 14:00–21:00
Dismantling of exhibition stands and exhibitor move-out. Please note that only venue staff will be present during this time.

Exhibition Opening Hours
The exhibition will be open during the same hours as the conference.
For exact times including:
•coffee breaks
•lunch breaks
•session start and end times
please refer to the programme on the homepage.
 
Booth Space
Standard booth spaces consist of floor space only. Booth walls are not included unless your booth is located directly next to a venue wall.
If your booth is located against a venue wall, please note:
•No materials, posters, banners, or branding may be attached to the venue walls without prior approval from the venue.
Booth Construction and Visibility
If your booth has a neighbouring booth, any structure facing that booth must have a clean, white and neutral finish.
The following are not permitted facing neighbouring booths:
•the backside of roll-ups
•unfinished structures
•the reverse side of printed advertising walls
All booth structures must remain within your allocated exhibition space.
Island Booths
Booths located in the middle of the exhibition area (island booths) must remain open and accessible from all sides except one.Island booths may include one wall element, which may display branding on both sides.
 
Hanging Banners and Ceiling Installations
Any hanging banners, lighting rigs, or other ceiling installations must be approved by the venue in advance.
Exhibitors wishing to hang materials from the ceiling must contact the venue directly to discuss:
•feasibility
•technical requirements
•associated costs
No ceiling installations may be made without prior approval.
 
Catering at Booths
All food and beverage services within the exhibition area must be ordered through the venue's catering department.
However, exhibitors are welcome to offer small items such as:
•candy, water and coffee
without ordering these through the venue.
Serving larger quantities of food, alcoholic beverages, or prepared items requires prior coordination with the venue.
 
Lead Scanning
If you wish to capture participant contact details by scanning badges, lead scanning services are available.

Sound and Activities

To ensure a comfortable environment for all exhibitors and delegates:
•Sound levels must be kept at a moderate level
•Activities that may disturb neighbouring exhibitors should be avoided
•Demonstrations should remain within the allocated booth space
 
Health, Safety and Venue Regulations
All exhibitors must comply with the venue's safety regulations.
This includes:
•keeping emergency exits and aisles clear
•ensuring booth constructions are stable and safe
•complying with fire safety regulations
The venue reserves the right to request modifications to booth constructions that do not meet safety requirements.
 
Liability and Insurance
Exhibitors are responsible for their own materials and equipment.
The organisers and the venue cannot accept responsibility for:
•loss
•damage
•theft of exhibitor property
Exhibitors are recommended to arrange appropriate insurance coverage.
 
Deliveries and Logistics
Detailed information regarding deliveries, storage, and handling of exhibition materials will be communicated closer to the conference.
Exhibitors are advised not to send materials to the venue before the official delivery dates.
 
Exhibition Etiquette
To ensure a professional exhibition environment we kindly ask exhibitors to:
•respect neighbouring exhibitors
•keep aisles clear at all times
•avoid aggressive marketing outside your booth area
•maintain a welcoming and professional booth presence
